Admin fee and HOA fine are different lines

The management company can charge an administrative fee for receiving or processing a violation notice while the HOA or municipality separately assesses the underlying fine. Rebuild both parts before reviewing the total.

Repeated notices can multiply the balance

  • First violation notice.
  • Property-manager admin charge.
  • HOA or municipal fine.
  • Second or later notice.
  • Recurring or escalating fine.
  • Credit or reversal after a corrected notice.

Cure evidence matters

Keep the original notice, compliance deadline, photos showing correction and proof submitted to the property manager. Those dates can help explain whether a later notice or recurring fine belongs on the ledger.

Use three layers for the final review

  1. Company disclosure: what the operator says the fee or billing process covers.
  2. Property documents: the exact quote, lease, addendum, invoice and resident ledger.
  3. State/local rules: deposit, utility, disclosure or move-out requirements that apply where the unit is located.
Educational information only. A published company fee, pricing page or billing procedure does not by itself determine whether an individual charge is permitted, correctly calculated or collectible.
