What to collect first
- Signed lease section covering rent due date and late fees
- Resident ledger showing the fee label and posting date
- Payment confirmation or bank record
- Payment method used: portal, app, WIPS, phone or other approved method
- Any failed or returned-payment notice
- Resident notifications about the late payment or fee
- Current FirstKey payment instructions
- Property-state late-fee or grace-period rule
Start with the lease and payment timestamp
FirstKey’s resident standards say notifications are sent when payment is late and when a late fee is charged, with the lease governing the payment terms. Match the lease due date and any grace period to the actual date and status of the payment.
Use the approved payment record
FirstKey publishes several ways to pay rent, including the resident portal, mobile app, WIPS and phone payment. Preserve the confirmation from the method actually used so the ledger can be compared with a dated transaction record.
A payment problem and a late fee are separate facts
If a payment was returned, delayed or not accepted, identify that event separately from the later late-fee posting. The transaction history can explain why the ledger treated the balance as unpaid.
Questions worth asking
- What date and time did FirstKey record the payment?
- What lease clause and state rule control the grace period?
- Was any payment returned or rejected?
- What exact ledger line is the late fee?
- Was the charge reversed after a corrected payment?
