Prevent the evidence gap

The best move-out evidence often starts on move-in day.

A later carpet, paint, appliance, countertop or cleaning charge is easier to review when you have dated evidence of the original condition. Capture both wide room views and close-ups of existing defects before normal occupancy changes the unit.

Submit defects in writing

Photos are strongest when they are paired with a written inventory, condition statement, email or resident-portal message showing that management received notice. Keep the original timestamp and any acknowledgement or work order.

State rules before you sign

Check the state layer before comparing offers

Upfront charges, move-in condition records and utility billing are not governed only by the property quote. State rules can change how much security deposit may be collected, whether deposit interest applies, what move-in documentation matters and how utilities may be billed.

Use the exact property state. A company-wide fee page or national lease template does not replace the law and disclosures that apply where the rental unit is located.

Keep the file for the full tenancy

Do not delete the move-in folder after repairs are completed. A repair request can later help establish that a condition was pre-existing, maintenance-related or already known to management.
