Do not classify the payment by its name alone
“Holding fee,” “reservation deposit,” “hold deposit” and similar labels can describe different arrangements. The written application, receipt and lease-start ledger are more useful than the label by itself.

- The exact property and unit being held.
- The written hold or reservation terms.
- The amount and payment deadline.
- The refund/retention conditions.
- Whether the payment will be credited to rent, deposit or other move-in funds.
- The date the unit must be leased or occupied.
- Any cancellation, denial or approval conditions.
Five questions to answer
- What does the payment actually reserve? Confirm the exact unit, home or application status.
- Is it refundable? Identify every event that allows a refund or permits retention.
- Is it credited later? If the lease is signed, determine where the money should appear on the move-in ledger.
- What happens after denial or cancellation? Do not assume applicant cancellation and landlord denial are treated the same.
- Does state or local law add a rule? Application, deposit and holding-payment rules can vary by jurisdiction.
Track the credit through the final move-in statement
If the written terms say the hold payment will be applied to move-in funds, keep the receipt and verify the credit on the final statement. A missing credit can make the move-in total look higher even when each individual fee line appears familiar.
